In 1957, The Medical Foundation (TMF) was created to primarily fund biomedical research in Massachusetts. Since then, we’ve been on a journey of evolution. Our core services comprise five clusters: capacity building assistance (CBA), grantmaking for biomedical research and community health initiatives, research and evaluation, public health services, and health and racial equity. Our CBA services help people, organizations, and communities build the competencies, infrastructure, and resources necessary to improve public health and achieve health and racial equity. Our CBA portfolio is broad, encompassing training, technical assistance (TA), and communication support, as well as strategic planning, facilitation, and leadership development services.

Position Description
HRiA is seeking an experienced Program Coordinator to provide a range of programmatic and administrative support for the Technical Assistance (TA) Department in our Capacity Building Assistance (CBA) cluster. This is an exciting opportunity to become part of a vibrant and growing public health organization and contribute to initiatives focused on reducing health disparities in Massachusetts. The Program Coordinator will have a keen understanding of operational procedures and an ability to work collaboratively in a team-oriented, fast-paced, deadline-driven environment.

The Program Coordinator will provide high-quality programmatic and administrative support to assist program staff in developing, implementing, and managing several programs and projects. This includes supporting the COVID-19 Community Grants program team that provides grants and CBA services to community-, faith-based and tribal and indigenous people serving organizations (CBOs, FBOs, and TIPSOs) in MA to improve public health and advance health and racial equity. The Program Coordinator will also support the team engaging and building the capacity of BIPOC (Black, Indigenous, and other People of Color) agencies to deliver community-led substance use prevention and harm reduction services.

This is an exempt, full-time position with a salary range starting in the mid- to upper $50k’s based on skills and experience. Given the focus on local community organizations and in-person trainings and support, MA residency is required. The Program Coordinator can work remotely for some or all of their workweek, as appropriate to the role and as discussed with and approved by their supervisor. Some travel to the Boston office and training sites will be required. The Program Coordinator will report to a Manager within the department.

Duties & Responsibilities
The Program Coordinator will provide a range of administrative and programmatic supports for the TA Department, including but not limited to the following:

Project Work
  • Coordinate and maintain internal communication systems (e.g., ASANA) and support team members' work through scheduling, developing and disseminating meeting materials, notetaking, and follow-up support.
  • Coordinate, schedule, and support meetings and trainings and other TA for grantees.
  • Help compile, write, and proofread summaries and regular reports to document project activities and accomplishments.
  • Develop, format, edit and/or proofread written project documents, email communications, and other materials and correspondence for meetings, trainings, conferences, and presentations.
  • Help monitor and document grantee progress and accomplishments and support overall program activities.
  • Support grantmaking with a range of grant documentation, including award and declination letters, grant agreements, check requests, and other materials.
  • Support accounts payable and receivable by creating invoices/check requests for payment/billing for vendors, and clients and tracking expenses and income.
  • Support team members in administrative and programmatic activities as requested.
Management
  • Lead and manage ASANA for the TA Department
  • Communicate effectively, efficiently, and appropriately with team members and team leads, and the HRiA supervisor.
  • Assist team members with tasks to address client, project, and/or team management needs.
  • Participate in team meetings, staff meetings, committees, and other workgroups.
Thought Leadership
  • Identify and suggest ideas to improve project activities and processes.
  • Assist with preparing and presenting reports and results.
  • Business Development
  • Support project management in securing continuation of project funding, as needed.
  • Gather and prepare documentation for proposals and/or contract extensions, as needed.

Candidate Qualifications
  • A commitment to racial and health equity, and to diversity of thought, backgrounds, and perspectives.
  • Bachelor’s degree and at least two years of relevant experience in a professional office setting. In lieu of a degree, additional work experience will be considered.
  • Fluency in Spanish is strongly preferred.
  • Curiosity and interest in public health issues and ability to remain current on issues.
  • Strong organizational and time management skills, and ability to juggle many projects and tasks at once.
  • High level of professionalism and self-motivation, with a demonstrated ability to commit to and follow through on projects.
  • Strong written, verbal and interpersonal skills, including communicating by videoconference, phone, and/or in person (when needed) with community members and organizational partners.
  • Ability to respond to project information requests by telephone and e-mail.
  • Ability to work independently and as a part of a team.
  • Proficiency in ASANA, Microsoft Office, especially Outlook, Excel, Word, Teams, OneNote and PowerPoint.
  • Proficiency in or capability of learning new software, including Zoom, Canva, and/or Adobe Acrobat.
  • Experience working in diverse and multi-cultural settings preferred.
  • Experience in event planning, coordination, and logistical support.
  • Excellent problem solving, organizational, critical thinking, and interpersonal skills.
  • Resourceful self-starter with a proven ability to perform under tight deadlines.
  • Flexibility and a sense of humor.
